Reporting to the Global PMO Lead, you will enable the account teams to execute, deliver, and be forward thinking with mid and long-term goals, establishing the Client-SeatGeek partnership as a model for the Ticketing Industry.

What You’ll Do

  • Work with the SGE leadership team to define and drive SGE strategy
  • Executive-level ownership of key client meetings and key leadership meetings, when required
  • Prepare presentation material for management and board meetings
  • Project manage cross-team initiatives
  • Monitor the status of key SeatGeek Enterprise projects, pushing forward said projects
  • Orchestrate SeatGeek Enterprise-wide communication
  • Work closely with President, SGE on all critical issues facing SeatGeek Enterprise
  • Drive insight into key SeatGeek Enterprise metrics

Who You Are And What You Have

  • You have 5+ years of program management or senior-level project management experience includes creation of project plans, project schedules, risk mitigation, escalation plans and associated project materials
  • You excel at taking ownership to lead and drive a team forward with agility where there is ambiguity of process
  • You have a proven track record of managing enterprise implementation projects within the SaaS space
  • You have experience having risk mitigation and prioritization conversations with executive level at large clients
  • You are comfortable holding everyone around you accountable - clients and SeatGeek alike
  • You enjoy creating and managing program portfolio and required process and tools
  • You can establish governance and communications for a large program
  • You’ve managed project documentation (including risk registers, schedules, incident logs etc.)
  • You are solution oriented and able to build an atmosphere in which you can spark creative thinking to navigate challenges

As scrum master, you will drive a scrum team focused on the core Front End technology underlying an online platform that serves 300+ sites globally.

You will be a servant leader who enables teams to self-organize, self-manage, and deliver via effective Lean-Agile practices. You will support and enforce the scrum process and other rules that the team has agreed. You will spend your time helping other team members communicate, coordinate, and cooperate, and will assist the team in meeting their delivery goals and remove impediments. You will also help the team coordinate with other teams on the Agile Release Train (ART) and communicate status to management as needed.

You will work in a SAFe environment using scrum principles to understand and execute resolution of new features and backlog items by working closely with the Product Owner and the project team, making sure deliverables reflect requirements and on-time delivery with high production quality.

You’ll work with experienced and talented people all over the world. Many of the people you collaborate with will be in a different time zone from you, and you are someone who is excited by the prospect of learning new cultures as well as sharing your own.

Key Responsibilities

  • Remove and manage team impediments to enable the team to deliver value
  • Ensure the development team adheres to Lean/Agile values, practices, tools and rules
  • Assist Product Owner with planning, change management and product backlog maintenance
  • Work with development team to estimate and refine all work adhering to Agile Best Practices
  • Establish cadence and facilitate Scrum ceremonies
  • Be a voice of reason and authority, while enabling development team to self-organize and innovate
  • Monitor development team execution against iteration plan
  • Work with teams to coordinate cross team dependencies and risks
  • Enable development team to execute iteration planning, iteration demonstrations and retrospectives leading the teams to productive outputs and actions

  • Manage full lifecycle application development or infrastructure projects – establishing project scope, providing status, managing risks/issues, developing and helping development team execute against Sprint and Program Increment goals
  • Ensure transparency to teams via system demos and executive status reporting
  • Ensure that all representatives have an environment conducive to openly and honestly share information for team success
  • Be a trusted advisor and mentor to clients and development team members on Agile Methodologies and solution delivery
  • Communicate clearly, professionally, and regularly with clients, partners and vendors
  • Keep abreast with Agile/Scrum best practices and new trends and bring them to the team where appropriate

The Program Manager will handle a broad and diverse range of responsibilities and assignments to support the Vice President of Programs to advance various areas of the organization’s work.

In this newly-created position, the successful candidate will be adaptable and flexible as duties and responsibilities evolve based on both skills of incumbent and emerging needs of the program. Responsibilities: Program Design and Execution

  • Work across teams to scope out gaps in existing and emergent K-12 programming, prioritize key projects, design and implement solutions to address the needs of these projects
  • Develop project work plans (with inputs from other departments and partners) and modify them as needed to ensure that projects are executed in a timely fashion
  • Understand new and existing technologies and create training materials and other resources (including webinars, screencasts, toolkits, etc.) to support utilization of systems by various stakeholders; Conduct instruction-based training as needed
  • Compile reports and other program data to surface opportunities and inform programmatic strategy and implementation

Responsibilities: Events Support

  • Serve as event facilitator or moderator for Women In Tech Talks and other programmatic events
  • Work with partners, speakers, and panelists to understand specific tech needs and set expectations and norms regarding Girls Who Code events
  • Run virtual production of programmatic events including Summer Speaker series, Clubs engagements, and other key events
  • Create key messaging to provide additional event details to students, facilitators, and other key stakeholders
  • Lead and execute events rehearsals and tech checks to ensure partners and speakers are prepared for programmatic events

Responsibilities: Staff Engagement

  • Create and maintain onboarding materials for new staff members on the K-12 Programs team
  • Assess programmatic team norms and contribute to the implementation of new systems and structures to support effective team operations
  • Support with the planning of team retreats, restropectives, team meetings to increase staff involvement

Qualifications

  • 5+ years experience in event planning, operations, project management
  • Highly skilled in project management; knowledge of project management platforms a plus
  • Capacity to be proactive, by anticipating needs and looking ahead at all times; a self-started
  • Superior organizational skills, with attention to detail
  • Ability to handle multiple projects simultaneously, knowing how to prioritize and adjust timetables based on demand and other circumstances
  • Ability to absorb high volume of information from a variety of sources and to synthesize the key elements
  • Experience with logistics and/or has a background in operations, project management, or other related field
  • Able to comfortably adapt in a diverse and dynamic environment with changing requirements and priorities

Responsibilities

  • Manage and direct estimating teams through tendering and proposal stage

  • Excellent communication skills (both oral and written)
  • The physical ability to freely access all points of a construction site in wide-ranging climates and environmental conditions
  • Ability and desire to travel to project sites
  • Professional Engineer License preferred but not essential
  • Strong all-around knowledge of geotechnical engineering, ground improvement techniques, structural deep foundation methods, and support of excavation (SOE) operations

RESPONSIBILITIES:

  • Conducts preliminary investigation for all project requests by reviewing requirements and specifications and testing and by reviewing support and training plans to ensure they are aligned with organizational priorities, business plans and objectives.

  • Utilize the Completion-Compliance-Quality Form (CCQ) process for close-out
  • Teach close out process to other SCCI employees.
  • Owner/Sub Requisition Process
  • Require the project team to have the completed pay requisitions approved by the Owner no later than the 1st of each month
  • Produce an effective Schedule of Values
  • Establish a regimented process for the collection of payments no later than 30 days and subsequent efficient system for the payment to Subcontractors
  • Review the Hold Reports before payment is due to allow for timely handling of deficiency issues and payment to Subcontractors/Vendors.

  • Consistently manage the cash flow of the Project so as to maintain a fiscally responsible position for SCCI
  • Produce an effective Schedule of Values which supports a strong cash flow position
  • Review each Subcontractors initial Schedule of Values to prevent overpayment
  • Review Sub/Vendor requisitions to prevent payment of unsigned or unfunded Change Orders
  • Produce and update the cash model for the Owner to prevent surprises
  • Produce an accurate percent complete projection to support the SCCI financial management process.
  • Meeting Management
  • Establishes a meeting regiment for the Project Team which provides for effective communication and problem solving
  • Follow the SOP for focused meetings such as PM/PE, OAC's, subcontractor meetings, coordination meetings, Precon Sessions, etc.
  • Manage all meetings by agenda and work to time limits.
  • Contract Logs
  • Require the Project Team to assemble and maintain the Project Logs (Cash Management, Change Management, Noncompliance, Buy-Schedule, Contracts, Procurement, Submittals, RFI's, Safety, Hold Reports, Construction Schedule, Work lists) and periodically review for accuracy
  • Conduct focus meetings once per month to review the maintenance of those logs and drills down to identify potential exposures and issues.
  • Subcontractor Relationships
  • Establish a "Firm but Fair" approach to building relationships with Subcontractors
  • Promote an environment of organization and professionalism with Subcontractors
  • Address issues immediately with a non-performing Subcontractor to protect SCCI from resulting delay and potential impact
  • Exhibit B Purchasing Process
  • Work with the Project Team, including Superintendents and Estimators, to consistently produce clear, thorough and accurate Scopes of Work based on drilled down review of documents
  • Organize and administer a well planned purchasing process so as to prevent the "Just in time" purchase of materials
  • Understand the priority of timely buy-out and gather the resources to meet the buy schedule
  • Schedule Management
  • Provide leadership with the Superintendent to produce a clear, thorough and accurate baseline Contract Schedule which rarely requires changes to the original logic
  • Track events, impacts and changes in the schedule to allow for the management and prevention of delays
  • Lead the Project Team to focus on critical path matters so as to prevent non-excusable delays
  • Manage and distribute organized and efficient Monthly Updating Process in accordance with the SCCI SOP
  • Provide the Owner with written monthly updates of the Contract Schedule in accordance with the requirements of the Contract
  • Take decisive action with subcontractors that are impacting the schedule
  • Produce buy-out and procurement schedule and assist with writing monthly schedule narrative in conjunction with the Scheduling team.
  • Risk Management
  • Complete the buy-out process in a manner which permits the timely flow of work, prevents budget issues, contract executions, bonds, insurance, etc.
  • Write timely notices to Owner and Subcontractors
  • Secure CCD authorizations before proceeding with Changes
  • Take immediate action when a non-performing Subcontractor is likely to cause impact to the Project
  • Work to complete the submittal and coordination process no later than 180 days
  • Teaches a risk management regiment to others on the project team
  • Owner Relationship
  • Work to establish a trusting and professional relationship with the Owner
  • Focus on keeping the Owner well informed of important matters to prevent surprises
  • Work to secure a strong letter of recommendation from the Owner for SCCI
  • Quality Management
  • Provide leadership in the utilization of the Quality Management Program on the project, which outlines quality expectations
  • Participate with the project team to institute the use of First Delivery and Quality Benchmark Inspections as the work progresses
  • Implement the use of the Nonconformance Reporting System to track and manage deficiencies in the work
  • Require the use of mock-ups to establish the quality expectations as defined in the Quality Management Program

How will you contribute to the team?

The Project Manager will report to the Project Director (for major contributor projects) or the General Manager and will be responsible for all aspects of engineering, procurement and construction delivery. This role will require leadership of all project team members, and will be responsible for developing work execution plans, assignment of or recruitment of project team members, development of overall work breakdown structure (WBS), project deliverables, organizational chart, budget, schedule, subcontract and supplier strategy, risk management, project forecast and people forecasting and leveling (PFL) for the project.  

A Project Manager is expected to have significant experience in project delivery and project execution methodology including an understanding of engineering, procurement, construction, contract management and project controls principles.

·      Accountable for all aspects of the project and to lead all team members who are performing duties to ensure that the work progresses with safety, quality, schedule, cost, and contractual requirements.

·      Assemble a project team through recruiting, interviewing and/or selecting staff with appropriate skills and establishing training and development programs suitable for the work. This generally requires close coordination with functional managers from various functions (engineering, project controls, safety, quality etc.) and in some cases with JV partner companies

·      Responsible for developing project scope and deliverable definition in compliance with the governing contract documents, quality requirements for the project and any additional customer requirements

·      Responsible for all contract management including scope & change control, requirements management, subcontractor and supplier management and governance for any flow-down requirements from the parent contract to subs and vendors.

·      Accountable for all aspects of nuclear and industrial safety including adherence with corporate and customer safety programs, development and enforcement of necessary training and requirements, adherence to corrective action programs and enforcement of performance standards for all of the above

·      Apply appropriate key performance indicators to monitor project health and performance and establish rigorous reporting protocols that meet all requirements of the contract, corporate standards and project-specific oversight as established by senior management or customer.

·      Ensure that all project activities are performed in accordance with corporate standards of ethical compliance, cyber-security, import-export regulations, intellectual property protections and security clearance protocols. 

·      Ensure that project procurement and subcontract management including subcontractor and supplier oversight, invoicing, accruals and supply chain strategies are aligned with risk management, quality requirements, schedule and budget considerations and overall performance standards commensurate with the project and customer requirements. 

·      Accountable for project controls methodology with respect to planning and scheduling, baseline management, cost control, budgeting, cash flow, invoicing, cost and revenue forecasting and resource management

·      Develop and implement detailed project execution plans and monitoring their execution through comprehensive reporting to clients and senior management.

·      Accountable for rigorous risk analysis in accordance with corporate standards and application of industry best practice including Monte Carlo methodology and contingency draw-down curves. 

·      Form and maintain relationships with clients, partners, suppliers and project stakeholders

·      Ensure that all formal approvals for project bids, changes and settlements are prepared and approved in accordance with corporate Level of Authority (LoA) procedures.

·      Approval of hours of work (eg. timesheet approvals, overtime approvals, vacation authorization) for assigned scope/project in accordance with company policies, project policies and any applicable collective agreements

·      Approval of Purchase Orders and Project Change Orders within the company or project tiered limits of authority – frequently one of several required approvals

·      Authorized to represent Company to client or suppliers with respect to project work and has signing authority for project correspondence, invoices, work orders etc., subject to company limits of authority

·      Preparing and managing budgets and accountability for assigned scope/project performance

·      Responsible for regular formal reporting to sr. internal and client mgmt. stakeholders

You will build strong partnerships with project stakeholders and ensure program benefits are delivered to meet business goals and exceed client expectations.

What You’re Responsible For

  • Developing and maintaining the annual plan, designing roadmaps that outline components and milestones, and creating the structure for the program release lifecycle and supporting documents.
  • Creating and executing the program release governance structure, strategy and operating framework, engaging key resources to ensure alignment with the program, and identifying risks that may impact other streams.
  • Designing an escalation process, implementing corrective actions and contingency plans as required, and evaluating program status to ensure the delivery of forecasted program benefits.
  • Managing, monitoring and reporting on all deliverables and components of program releases, facilitating scrums, coordinating and overseeing the integration of activities across projects to ensure alignment, and reporting on benefits realization progress.
  • Developing and fulfilling program release communication requirements in partnership with change experts, building and implementing a stakeholder engagement plan to support the effective transition of program deliverables to business and process owners, and identifying new program components to be incorporated into the program roadmap.

To join our team:

  • You have five years of experience in project or program management, including experience with release management in an agile and development operations (DevOps) setting.
  • You have a post-secondary degree in Business, Marketing, Information Technology or a related discipline.
  • You have the Program Management Certification, Project Management Professional (PMP) designation or Agile Certification.
  • Having a Change Management or LEAN certification is an asset.

Position Summary

The RPDM:

  • Coordinates with different R&D stakeholders at Vive to ensure projects are completed on-time, is within budget and scope; monitors and summarizes progress of project(s) and prepares reports for upper management regarding status of project(s).  
  • Coordinates with Product Development Managers, Director of Finance and Operations and HR to ensure all aspects of each project are compatible.
  • Assists in the hiring of new talent as needed to fulfill department and project needs.
  • Identifies & manages grants that offset R&D expenditures.

Key Success Factors

  • Delivers results on strategic objectives with minimal guidance and oversight; create processes and solutions to new and repeated initiatives.
  • Implements a project management infrastructure to coordinate and track a wide range of R&D projects with significant inter-project dependencies and complexities.
  • Summarizes information to appropriate stakeholders such as Senior Management, other Vive scientists as well as external partners including those with technical and non-technical backgrounds.
  • Identifies, apply for, and manages government grants that offset R&D expenses. 
  • Manages multi-disciplinary project teams through different phases of projects, including project objectives, developing project goals, deliverables, and scope.
  • Defines project resource requirements and develops project documents to monitor and support projects.    
  • Provides input into the design and development of management systems for applied research or advanced development projects.
